We collect personal information:
directly from you when you contact us, complete an enquiry form, register for a programme or event, or correspond with us by email; when you use this website (through cookies and analytics tools, where applicable); from your employer or organisation, where they engage us to deliver training or consulting services on their behalf; from publicly available professional sources such as LinkedIn, where relevant to a business enquiry; and in the course of delivering contracted services, workshops or assessments.
4. Why We Process Your Personal Information — Purposes and Legal Grounds
We process personal information only for specific, lawful purposes. The applicable processing grounds under POPIA include consent, contract, legal obligation, and the legitimate interests of AI Inside (Pty) Ltd where these are not overridden by your rights.
We do not process your personal information for purposes incompatible with those stated above without your prior knowledge and, where required, your consent.
5. How We Share Your Personal Information
We do not sell, rent or trade personal information. We may share personal information with the following categories of recipients only where necessary and in accordance with POPIA:
Service providers and operators Third parties who assist us in operating our business and delivering our services, including:

- video conferencing and online delivery platforms;

Freelance trainers and delivery partners
Where AI Inside engages a South African freelance trainer or delivery partner (such as Neo Potele) to assist in delivering a contracted programme, that individual will receive only the personal information necessary to fulfil the delivery role.
Professional advisors
Accountants, legal advisors and tax practitioners, where necessary for our legal and financial obligations.
Regulatory and government bodies
Where required by law, including SARS, the Information Regulator, or any competent South African court or authority.
We do not share personal information with third parties for their own independent marketing purposes without your explicit consent.
6. International Transfers of Personal Information
AI Inside (Pty) Ltd operates in South Africa and may use technology providers whose servers are located outside South Africa. Where personal information is transferred to a third country, we take reasonable steps to ensure that the recipient provides an adequate level of protection, including through contractual arrangements.
Where AI Inside delivers services to clients or participants located in the European Union or European Economic Area, additional data-protection requirements may apply under the General Data Protection Regulation (GDPR). In such cases, AI Inside addresses applicable requirements through its client contracts, data-processing agreements and operational safeguards. This website and company are not operated from the EU and are not an EU establishment; however, AI Inside takes international obligations seriously where its services are accessed from or delivered to EU-based individuals.

7. How Long We Keep Your Personal Information
We retain personal information only for as long as is necessary for the purposes for which it was collected, or as required by applicable South African law.

8. How We Protect Your Personal Information
AI Inside (Pty) Ltd takes reasonable technical and organisational measures to protect personal information against loss, unauthorised access, unlawful processing and disclosure. These measures include:
- encrypted data transmission (HTTPS);
- access controls and password management;
- two-factor authentication for key systems;
- regular review of access rights;
- restricted access to personal information on a need-to-know basis;
- contractual obligations on third-party service providers; and
- documented processes for responding to security incidents.
No method of electronic transmission or storage is entirely secure. In the event of a security incident involving personal information, AI Inside will act in accordance with its obligations under POPIA, including notification to affected data subjects and the Information Regulator where required.
9. Your Rights as a Data Subject
Under POPIA, you have the following rights in relation to your personal information:
- Right of access: you may request confirmation of whether we hold your personal information and request a copy of it.
- Right to correction or deletion: you may request that we correct inaccurate personal information or delete personal information that is no longer necessary.
- Right to object: you may object to the processing of your personal information on grounds relating to your particular situation, subject to applicable legal grounds for continued processing.
- Right to withdraw consent: where processing is based on consent, you may withdraw your consent at any time. Withdrawal does not affect the lawfulness of processing carried out prior to withdrawal.
- Right not to be subject to automated decisions: where applicable, you have the right not to be subject solely to automated processing that produces a decision with legal or similarly significant effects, without human review.
- Right to complain: you have the right to lodge a complaint with the Information Regulator of South Africa.
